We have an exciting new opportunity for a Company Secretariat Assistant to join our fast-paced CEO Office team.

We have an exciting new opportunity for a Company Secretariat Assistant to join our fast-paced CEO Office team. 

Together with the Assistant Company Secretary, you will be responsible for arranging and planning all Board and Board Committee meetings, so that they all report in accordance with the Bank’s corporate governance structure and meet deadlines, as well as producing and distributing reports, board papers, committee papers, agendas, presentations and correspondence to meet deadlines in hard copy, by email, board portal, SharePoint or other means deemed appropriate. 

Key focus of the role will be:

-    Providing support in the discharge of General Counsel and legal and corporate governance responsibilities.
-    Liaising with management regarding provision and content of Board/Board Committee and Strategic Away Day documentation packs (where appropriate) and forwarding of all meeting papers;
-    Timely production of Board minutes, Board Committee minutes and Executive Management Committee minutes, and packs, as required.
-    Liaise and correspond with Non-Executive Directors, as required.
-    Facilitating induction of new directors and mandatory training.
-    Providing holiday cover for colleagues, as needed.

You should ideally have experience dealing with the above responsibilities in a specialised company secretarial function, preferably within the financial services sector, along with:

-    Proficient at minute taking as well as co-ordinating papers and packs for submission to Board and Committee meetings.
-    Excellent written and verbal communications skills with the ability to build professional relationships with senior stakeholders.
-    Must be able to prioritise and manage multiple competing deadlines and be able to adapt your plans as priorities change.
